How do I respond to enquiries?

A few tips to help you with your enquiry response:

1

Respond fast. We know that venue host which respond within 6 (working!) hours of the enquiry being sent are twice as likely to convert an enquiry than those responding within 24 hours. Anything longer than 24 hours and you're unlikely to capture your prospective client's attention.

It's super easy to reply to an enquiry. Either click into the VS Inbox from the enquiry email you receive from us. From there you'll be able to Accept, Decline or write a response to the client.

Or for your convenience, we also enable you to simply reply to our enquiry email. When you do, we'll automatically post your message into the VS Inbox for you - including any attachments you wish to include. Easy!

2

Make sure your response includes details on how to book. The fastest and simplest way to do this is to click the Accept button in the email you receive from us informing you of a new enquiry. By clicking Accept you're responding confidently and confirming all the key info such as dates, catering and pricing.

Set up a viewing with the client. Yes, it can be time consuming, but we recommend always suggesting a viewing to help the client turn their event imagination into reality. Use a tool like  Calendly so that you can invite your potential clients to book a viewing in your calendar based on your live availability.

4

Set yourself a reminder to follow up with the client in 2-3 days if you don't hear back. You can write messages to our users 24/7 using our simple VS Inbox or by simply replying to any of our emails.

Want to talk to the client? No problem! Click on the call button in the VS Inbox to make contact by phone.
